Legacy System Archival

Kronos Data Archival and System Decommissioning

Retire Kronos or UKG Workforce Central while keeping timecards, schedules, accruals and payroll history searchable and audit-ready.

What Gets Archived

A Kronos or UKG timekeeping archive typically covers employee records, timecards, punches, schedules, accrual balances, pay rules, attendance history, payroll extracts, audit history, standard reports, and documents where the platform stores them.

Kronos, UKG Workforce Central, UKG Dimensions and UKG Pro WFM Are Not the Same

These product names get used interchangeably, but their data access methods differ, and treating them as identical is a common source of scoping errors:

  • Kronos Workforce Central / UKG Workforce Central — the legacy on-premises platform, typically accessed via direct database extraction or vendor-supplied export utilities.
  • UKG Dimensions — the cloud-native successor, with its own API and reporting structure, distinct from Workforce Central's data model.
  • UKG Pro WFM — UKG's rebrand/evolution of the Dimensions platform, with its own current interfaces.

The right extraction approach depends on which of these you're actually decommissioning — a scoping call should confirm this before an estimate is finalized.

Archival vs. Migration

Some Kronos/UKG projects are pure archival (retire the timekeeping system entirely, keep searchable read-only history for payroll audits and compliance). Others involve migrating active workforce data to a new target — for example UKG Ready to Workday, covered separately. This page is scoped to the archival and decommissioning case; if you're also moving live workers to a new system, see the migration page below.

Frequently Asked Questions

Is the archival approach the same for Workforce Central, Dimensions and UKG Pro WFM?+

No. Each has a different data access method — Workforce Central is typically extracted via direct database access or vendor export utilities, while Dimensions and UKG Pro WFM use their own current APIs. Confirming which platform you're on is the first scoping step.

Do you archive payroll extracts or the original payroll results?+

Both can be archived where available: the timekeeping-side payroll extract Kronos/UKG generated, and, separately, whatever payroll system results exist downstream. They are typically distinct datasets.

Can we keep former-employee access after decommissioning?+

Yes, that's the core purpose of the archive — a searchable, read-only record accessible for payroll audits, compliance requests and historical reporting after the live system is retired.

What if we're also migrating active workers to Workday, not just archiving?+

That's a different, related scenario — see UKG Ready to Workday Migration. This page is scoped to archival and decommissioning of a system you're retiring outright.
