NetSuite Cloud Archive — Kill the Subscription, Keep the Data

The Syntra ETL netsuite cloud archive is a managed long-term repository for NetSuite data — full record-level history (transactions, items, customers, vendors, employees, custom records), File Cabinet attachments and Saved Search outputs — extracted from an active or retired NetSuite account and stored in encrypted cloud object storage (AWS S3, Azure Blob or Google Cloud Storage). The archive is built specifically to let you cancel the underlying NetSuite subscription while preserving full read access for finance, audit, tax and statutory inquiries. Data is preserved in immutable Parquet format with hash signatures, indexed for fast query through a hosted SQL endpoint, and exposed through a self-serve consumer UI that mirrors NetSuite's record navigation and Saved Search look-and-feel.

NetSuite pricing for read-only access to historical data is essentially the same as full operational access — per-user subscription plus module licenses. For a typical mid-market customer migrating to Oracle Fusion or another ERP, keeping NetSuite live just for historical lookups costs $80K–$300K per year (10–40 named users at base licensing, plus OneWorld if applicable, plus modules like Advanced Revenue Management that finance needs for ASC 606 lookback). The netsuite cloud archive uses the same Syntra ETL NetSuite extraction pipeline as the migration product — SuiteTalk REST v1, SOAP and SuiteAnalytics Connect (ODBC) — but instead of routing output to Fusion FBDI, it routes to immutable cloud object storage. The initial bulk extract typically completes in 1–3 weeks depending on transaction volume and File Cabinet size. Incremental delta extracts via lastModifiedDate watermarks then run on a configurable schedule (typically nightly) until the NetSuite cutover date, at which point the archive is sealed and the live NetSuite subscription can be cancelled. Every ingested record carries source metadata, extraction-run metadata and a hash signature so auditors can trace any archive record back to its source NetSuite extraction event.

Consumers (finance staff, auditors, tax preparers, internal control teams) access the netsuite cloud archive through a self-serve hosted UI that mirrors the NetSuite record navigation experience — search by customer, vendor, transaction number, date range or amount; drill into a transaction's lines, allocations, attachments and audit history; export to Excel or PDF; rerun preserved Saved Searches against the archive. Power users can also query the archive directly through a hosted SQL endpoint (read-only, role-scoped) for ad-hoc analytics, or through a REST API for integration with downstream BI tools (Tableau, Power BI, Looker, Sigma). Every consumer access is logged for SOX audit evidence.

Yes. The netsuite cloud archive is designed to satisfy all major financial records retention regulations: SOX (Sarbanes-Oxley) 7-year retention for financial records with auditable trace from GL entry to source; IRS 4–7 year retention for tax records (Pub 583 for general business records, Pub 463 for travel/entertainment substantiation); EU VAT Directive 6–10 year retention depending on member state (HMRC requires 6 years in UK, France requires 10); ASC 606 multi-year revenue recognition data retention. Data is stored with immutable WORM (write-once-read-many) controls, hash-signed at ingest, access-logged at every read, and time-stamped with a signed evidence trail. Once the NetSuite subscription is cancelled, no new data can be ingested from NetSuite — there's no live source. Yes. Custom Records are extracted via SuiteTalk SOAP search (using the customRecord_ record type) or through SuiteAnalytics Connect direct table query, and stored in the archive alongside standard records with their parent-child relationships preserved. SuiteScript-derived data (records created or modified by SuiteScripts) is captured at the record level — the archive doesn't preserve the SuiteScript code itself, but it preserves every output the script produced. SuiteFlow workflow state (which approver acted on which transaction at which time) is captured as part of the standard transaction extract. This means Custom Records like Lease Schedules, Loyalty Programs, Customer Health Scores or Project Phases are queryable in the archive for the full retention period.

The NetSuite File Cabinet is a major component of any archive — vendor bill PDFs, expense receipts, contract documents, customer credit applications can total multi-TB across a decade of operation. The netsuite cloud archive pulls every file via SuiteTalk SOAP getList(file) or through dedicated File Cabinet RESTlets, stages each to encrypted cloud object storage (S3/Azure Blob/GCS), preserves the original NetSuite File ID as the cross-reference, and links each file to its parent record (vendor bill, expense report, customer record). The consumer UI shows attachments inline on the record view — finance opens a 2019 vendor bill and the PDF receipt is one click away, as if NetSuite was still live.
